2. Information We Collect

  • Contact details: your name, email address, telephone number and preferred contact method.
  • Booking details: rental dates, selected equipment, hotel or accommodation details, arrival and departure dates, age range where requested, booking notes and acceptance of rental terms.
  • Identity details: passport number, country of issue and a passport photograph or copy where required for the rental identity check.
  • Payment records: amount paid, payment method, payer details, transaction references, deposit refunds, store credit and outstanding balances.
  • Communications: enquiries, booking messages, complaints and our responses.
  • Equipment records: collection and return records, condition photographs, damage reports and equipment location information linked to a rental.
  • Website information: IP address, browser and device details, pages viewed, cookie identifiers and interactions collected through our website and enabled tracking services.

We receive information directly from you, from a person booking on your behalf, from payment providers and collection partners, and through website or equipment-tracking systems. If you book for someone else, please share this policy with them and provide only information needed for the booking.

Fields needed to arrange the rental, contact you, verify identity or process payment are identified during booking or collection. Without necessary information, we might be unable to complete your rental. Optional information is not a condition of service.

3. How and Why We Use Information

  • Booking and contract administration: to answer booking requests, reserve equipment, arrange collection or agreed delivery, take payment, manage returns and apply refunds or credit.
  • Legitimate business interests: to prevent fraud, verify the renter, protect and recover equipment, investigate damage, handle disputes and maintain website security. We assess these interests against your privacy rights and limit the information used.
  • Legal obligations: to maintain records required by applicable law and respond to valid requests from authorities.
  • Consent: for optional marketing and non-essential tracking where consent is required. Declining these activities does not prevent you from renting clubs.

We use the relevant legal basis for each purpose. Using our website or accepting rental terms is not blanket consent to unrelated uses of your information.

4. Passport and Identity Checks

We request identity information to verify the person responsible for rented equipment and help investigate loss, theft or disputes. We explain the required check before collecting this information.

Passport information is not used for advertising or marketing. Access is limited to people who need it for identity checks, rental administration or a specific incident. Unnecessary passport pages and unrelated details should not be supplied.

Retention period: We delete passport photographs, copies and recorded passport information at the end of your rental contract, once the equipment has been returned and inspected, provided there are no outstanding claims or debts owed to Pattaya Golf Rentals.

If equipment is damaged, lost or not returned, or a payment or claim remains outstanding, we retain only the passport information needed to resolve the matter. We delete it promptly once the claim or debt is settled, unless a specific legal obligation requires continued retention.

You are entitled to request deletion, subject to applicable exceptions. Routine deletion must also take place when the information is no longer necessary, without waiting for a customer request.

5. Equipment Tracking

Rental sets contain electronic tracking devices. Location information helps us protect equipment, check it remains within the agreed rental area and recover lost or stolen items.

Equipment location data becomes personal information where it is linked to your booking or reveals your movements. We use it for equipment protection and incident management, not marketing or unrelated monitoring.

Relevant location records are shared only where necessary with authorised operational partners, tracking-service providers, insurers or authorities investigating an incident.

6. Who Receives Your Information?

We share only information needed for the relevant service or purpose, including with:

  • Authorised collection and return partners who manage equipment handovers, identity checks, inspections and payments.
  • Transport vendors when you request delivery or collection. They receive necessary contact, address and scheduling details.
  • Payment providers and banks, including Wise, Revolut or the bank used for your transaction, to process and verify payments or refunds.
  • Website hosting, email, booking-management, cloud-storage and technical-support providers.
  • Analytics and advertising providers identified in our cookie information, where their use is permitted.
  • Professional advisers, insurers and public authorities where necessary for legal obligations, claims or equipment recovery.

Service providers acting on our behalf must follow appropriate data-protection requirements. Banks, social platforms and some other providers also process information independently under their own privacy policies.

We do not sell customer personal information.

7. Payments and Financial Information

We retain the transaction details needed to confirm payment, manage your booking, return deposits and maintain financial records. Payment providers handle information supplied directly to their services under their own privacy notices.

Please do not send passwords, card security codes or banking login details by email or through our contact form. For payment enquiries, provide your booking reference and transaction reference rather than unnecessary account information.

8. Cookies, Analytics and Third-Party Content

Our website uses necessary cookies or similar technologies for functions such as keeping a booking basket, maintaining a session and protecting forms. It also uses analytics or advertising tracking to understand website use and measure promotion results.

Non-essential tracking requiring consent must remain inactive until consent is given. Contact us with questions about tracking services or to request help withdrawing consent.

Embedded maps, videos and social-media content involve third-party services, which receive technical information when their content loads. Where consent is required, the content must wait for your choice before loading.

Your browser also offers cookie controls. Blocking necessary cookies affects some booking functions. Deleting cookies alone does not necessarily withdraw a previously recorded consent choice.

9. Marketing Messages

We send promotional email or messages only where you have opted in or another applicable legal basis permits them. You are free to decline marketing without affecting your booking.

Use the unsubscribe option in a promotional message or email us to stop marketing. Essential booking, payment, collection and return messages continue where needed to provide the service.

10. Storage, Retention and Security

Information is kept only for the period needed for its stated purpose, including applicable accounting requirements, open disputes and valid legal claims.

  • Booking and payment records: retained through completion and settlement, then for the applicable accounting or claims period.
  • Store-credit records: retained while credit remains valid, normally 12 months from the original booking date, and afterwards only for necessary financial records or unresolved claims.
  • Passport records: handled under the separate retention rule in Section 4.
  • Routine equipment location history: retained for the rental and return inspection, then deleted when no longer needed for equipment protection. Relevant incident evidence is retained until the matter and applicable claim period are resolved.
  • Enquiries without a booking: retained while we respond to your enquiry and complete any necessary follow-up, then deleted when no longer needed unless a legal obligation or unresolved claim requires retention.
  • Marketing preferences: retained while marketing continues. A minimal suppression record is kept where necessary to honour an opt-out.

When retention is no longer justified, records are deleted, securely destroyed or anonymised, including copies held by operational partners and service providers under our instructions. Backup copies follow the confirmed backup-deletion cycle.

We apply appropriate access controls and technical and organisational safeguards for the information handled. If a personal-data breach occurs, we assess it and notify the relevant authority and affected people where required by law.

11. Processing Outside Thailand

Our email, payment, hosting, cloud and tracking providers operate internationally. Information is processed or accessed outside Thailand where those services require it.

For transfers subject to Thai data-protection law, we use an applicable lawful transfer mechanism, such as recognised protection standards, appropriate safeguards or a permitted exception. This policy does not treat use of our website as blanket consent to overseas transfers.

12. Your Privacy Rights

Subject to Thai law and applicable exceptions, you have rights to:

  • Request access to your information and a copy of it.
  • Correct inaccurate or incomplete information.
  • Request deletion, anonymisation or restricted processing.
  • Object to certain processing, including direct marketing.
  • Request data portability where applicable.
  • Withdraw consent for processing based on consent, without affecting lawful processing before withdrawal.
  • Complain to Thailand’s Personal Data Protection Committee or its competent complaint-handling body.

Email hello@pattayagolfrentals.com to make a request. We will verify your identity using proportionate information and respond within the applicable legal period. If an exception prevents us from fully granting your request, we will explain the reason.

Withdrawing optional marketing or tracking consent does not affect your rental. Requests affecting information still needed to perform an active booking or meet legal obligations are considered separately.

13. Changes and Contact

We update this policy when our services or information-handling practices change. The effective date identifies the current version. Where required, we will notify you of material changes or seek fresh consent before a new use.
